AI automation agency in Dubai: agents and workflows for the work nobody should do by hand
Most AI projects start with a demo and end with a chatbot nobody opens. Ours start with one task your team repeats every day, and a number that says whether automating it was worth it.
Projects from AED 6,100 (≈ €1,500), with the scope fixed in writing before any build begins.
We list the tasks worth automating in your business, and the ones that aren’t.
What we mean by AI automation
Two things working together. Workflows move data between your tools on a trigger: a form arrives, a record is created, a message goes out. AI agents do the part that used to need a person to read: understanding a message, sorting it, drafting a reply.
We apply both to two areas: winning clients (replying, qualifying, following up) and running the business (reports, data entry, reminders). We don’t sell AI as a strategy deck.
Four jobs we usually automate first
1. The first reply to a new lead
A lead fills in a form at 23:40. Within a minute an agent answers on WhatsApp or email, using only the information you’ve approved: services, areas, opening hours, next available slots. For WhatsApp we work on the official API; see our WhatsApp Business API integration.
2. Qualification before anyone picks up the phone
The agent asks the three or four questions your most experienced salesperson would ask: budget, timing, location, what they actually need. The answers land in the CRM as fields, not as a wall of chat, and the lead is routed to the right person.
3. Reports that build themselves
Ad spend, leads by source, appointments and sales, pulled from the ad platforms and your CRM into one weekly summary. A short written note flags what changed, so you read three lines instead of opening five dashboards.
4. The repetitive back office
Copying data from one tool to another, renaming files, chasing missing documents, sending reminders before an appointment. Small tasks, but they add up to hours each week and they’re where errors creep in.
Where the AI decides and where plain code does
A language model is good at reading and judging. It’s unreliable at anything that must happen exactly the same way every time. So we split the work:
- The model reads the message, picks the intent and drafts the answer.
- The workflow creates the record, applies the tag, sends the approved template and schedules the task, with no improvisation.
- A person approves anything that commits money, a price or a promise.
That split is why our automations keep working after the first month, when the novelty is gone and the edge cases arrive.
The tools we build with
| Tool | What it does in the system |
|---|---|
| n8n | The workflow engine: triggers, connections between apps, scheduled jobs |
| HighLevel | CRM, pipelines and messaging, when you need one; here’s our HighLevel CRM set-up |
| Claude and other large language models | Reading messages, classifying them and drafting replies |
| WhatsApp Business Platform | Conversations with clients on Meta’s official API, through an official provider (BSP) |
| Your existing software | Spreadsheets, accounting, booking tools, connected through their APIs where they offer one |
We choose the model per task. A cheaper one sorts messages; a stronger one writes the replies a client will read.
Who it’s for
| Business | Typical first automation |
|---|---|
| Real estate brokerages | Instant reply to portal and ad enquiries, buyer criteria saved, hand-over to the agent on duty. Property ads and generic lead campaigns carry a Trakheesi permit number |
| Clinics | Appointment requests sorted by treatment and branch, reminders, no medical advice from the agent; any ad content still goes through your Medical Director under DHA standards |
| Service companies with a sales team | Quote requests qualified before the call, weekly pipeline report for the owner |
If you already run ads and get leads, AI automation usually pays back fastest on reply speed. If you need the ads too, look at the complete lead generation system.
How a project runs
| Stage | What happens |
|---|---|
| Mapping (week 1) | We sit with whoever does the task today and write down every step, every exception and the tools involved |
| Build (weeks 2–3) | Workflows and agent built and tested against real past messages from your business, not invented ones |
| Shadow mode (week 4) | The agent drafts, a person on your team reads and sends. We fix whatever it gets wrong |
| Live | It answers on its own within the limits you’ve agreed. In the first month we check its mistakes every week |
Accounts and workflows are set up in your company’s name. If we stop working together, the automations keep running and stay yours.
Proof
We run n8n workflows, a HighLevel CRM and WhatsApp follow-up in production for clients in Spain: routing leads by office, syncing the CRM with other systems, replying before a salesperson calls. We have no AI project with published results yet, so this page doesn’t quote a figure. To judge us, or anyone else, use our guide on how to choose an AI automation agency in Dubai: the criteria, the questions for the first call and the red flags.
Data, permissions and limits
- Personal data stays in the tools you control, and contacts are handled under UAE data protection rules.
- On WhatsApp, the agent only talks about your business. Clause 4.7 of Meta’s WhatsApp Business Platform terms rules out bots whose core purpose is open-ended, general AI chat, and that’s not what we build.
- We don’t promise a percentage of time saved before mapping the task. We measure it after launch instead.
Pricing
From AED 6,100 per project (≈ €1,500). The final figure depends on how many tools are connected, how many conversation types the agent handles and how many languages it answers in. You get it in writing after the mapping call.
Meta’s per-message charges and the official provider’s fee are billed to your own account. Any other tool is quoted before we start.
Prices exclude VAT. If VAT applies, it is added at the legal rate and shown on the invoice. Invoiced by LEADS AND FUNNELS MARKETING FZCO, licensed by IFZA in Dubai (licence 75650).
Frequently asked questions
Not quite. A classic chatbot follows a fixed menu of buttons. An AI agent reads what the person actually wrote, decides what they want and takes an action: updates the CRM, books a slot or passes the conversation to someone. We still give it narrow limits, so it only does the jobs it was built for.
Only after it has passed a shadow period where a person reviews every draft. Even then, it works inside rules you approve: topics it can answer, questions it must ask, and cases it hands over straight away, such as complaints, prices outside the list or anything medical or legal.
Mostly Claude, plus other large language models where they’re cheaper or better for a specific step. The model is one part of the system; the workflow, the rules and the testing matter more. If a better model appears, we can swap it without rebuilding everything.
n8n is our default because it’s flexible and can run on your own server. If your team already relies on Make or Zapier, or your CRM has its own automation builder, we look at that first and recommend the option that’s easiest for you to maintain.
The first call is free and ends with a short list of what’s worth automating in your business and what isn’t. If you’d rather your own team builds it, the list is yours to keep. Paid work starts when we build. If you’re comparing providers, our guide to choosing an AI automation agency lists the questions to ask.
